Choosing a Rostering & Login Method (Rostering FAQ)

Setting up your digital classrooms is one of the most important steps before teachers begin using Gibbs Smith Education. This guide explains the different rostering and login options we support, what information syncs, and who is responsible for managing your roster data.


Which rostering methods do you support?

Gibbs Smith Education currently supports the following methods for managing users and classes:

  • Clever
  • ClassLink
  • OneRoster
  • LTI 1.3 (Canvas & Schoology)
  • Manual Registration

Each option has different setup requirements and may be a better fit depending on your school's technology environment.


Do you support Clever?

Yes!

We proudly support Clever for many of our district partners.

Because Gibbs Smith Education is a smaller educational publisher, the ongoing costs associated with Clever are significant. As a result, Clever is generally available for districts with larger digital implementations rather than every customer.

If your district is interested in using Clever, we'd be happy to discuss whether it is the right solution for your implementation.

Getting Started

  1. Contact Support and request Clever integration.
  2. We will send your district a sharing request through Clever.
  3. Approve the sharing request in Clever.
  4. Let Support (support@gibbs-smith.com) know once it has been approved.
  5. We'll complete the setup on our side.

Your roster will begin syncing during the next scheduled synchronization.

Important: When selecting our application in Clever, please choose GSE Online (Orange Bird icon).

How often does Clever sync?

Clever synchronizes automatically every evening between 2:00–3:00 AM Eastern Time.

Any changes made during the school day will typically appear after the next nightly synchronization.


Who controls the roster?

Your district controls all roster information within Clever.

If a teacher, student, class, or school is missing, the change must first be made within your Student Information System (SIS) or Clever before it can appear in Gibbs Smith Education.


Do you support ClassLink?

Absolutely!

We enjoy partnering with districts that use ClassLink.

Getting Started

  1. Contact Support@gibbs-smith.com.
  2. Share your ClassLink data with Gibbs Smith Education.
  3. Notify Support once sharing has been completed.
  4. We'll configure your district in our system.

Important: When selecting our application in ClassLink, choose Gibbs Smith Education 3.0.


How often does ClassLink sync?

ClassLink synchronizes automatically every evening between 2:00–3:00 AM Eastern Time.


Who controls the roster?

Your district manages all roster information within ClassLink.

If users or classes are missing, changes should first be made within your SIS or ClassLink before they can synchronize with Gibbs Smith Education.


Do you support OneRoster?

Yes.

If your district uses OneRoster exports, we can import your roster data.

Getting Started

  1. Contact Support@gibbs-smith.com.
  2. Export your OneRoster CSV files.
  3. Compress the files into a ZIP file.
  4. Share the ZIP file securely using Microsoft OneDrive, Google Drive, or another secure file-sharing service.

For security reasons, we do not recommend sending OneRoster files through email.

Once received, our Engineering team will import your roster data.


How often does OneRoster sync?

Unlike Clever and ClassLink, OneRoster does not synchronize automatically.

Roster updates must be provided by your district each time changes need to be imported unless another process has been arranged with our team.


Who controls the roster?

Your district controls when updated OneRoster files are generated and shared.


LTI 1.3 (Canvas & Schoology)

What is LTI 1.3?

Learning Tools Interoperability (LTI) 1.3 allows teachers and students to launch Gibbs Smith Education directly from their Learning Management System (LMS), such as Canvas or Schoology.

This provides a seamless experience by allowing users to access Gibbs Smith Education without navigating to a separate website.


Which LMS platforms are supported?

Currently, we support LTI 1.3 integrations with:

  • Canvas
  • Schoology

How do I get started?
  1. Contact Support@gibbs-smith.com.
  2. We'll provide your LMS administrator with the required configuration information.
  3. Your LMS administrator completes the setup.
  4. We'll help verify the connection and test the integration.

Does LTI roster my students?

Not necessarily.

LTI is primarily a launch method rather than a rostering system.

Depending on your district's configuration, roster information may still come from:

  • Clever
  • ClassLink
  • OneRoster
  • Your LMS

Our Support team can help determine the best setup for your district.


Manual Registration

Schools that are not using an automated rostering service can manually create teacher and student accounts.

Manual registration is often the best option for smaller schools or organizations that do not use a district rostering platform.


What information syncs

How long does setup take?

Setup times vary depending on your chosen integration and how quickly access is shared.

Generally:

  • Clever: After sharing is approved and configured, your first synchronization occurs during the next nightly sync.
  • ClassLink: After sharing is completed and configured, your first synchronization occurs during the next nightly sync.
  • OneRoster: Timing depends on when your files are received and imported.
  • LTI 1.3: Setup depends on your LMS administrator completing the required configuration.
  • Manual Registration: Users can begin registering immediately.

Who controls my roster?

For all automated rostering methods, your district remains the source of truth for roster information.

This means changes should always be made in your district's Student Information System (SIS) or rostering platform.

Gibbs Smith Education imports the data your district chooses to share and generally does not manually edit automated roster data.


Frequently Asked QuestionsMy new student isn't showing up.

If you're using Clever or ClassLink:

  1. Verify the student has been added to your SIS.
  2. Verify the student is being shared through your rostering platform.
  3. Wait until after the next nightly synchronization (2:00–3:00 AM ET).
  4. If the student still does not appear, contact Support@gibbs-smith.com.

My teacher isn't showing up.

Teachers must first exist in your district's SIS and be included in the roster data shared with Gibbs Smith Education.

If everything appears correct and the teacher is still missing after the next synchronization, contact Support.


Can Gibbs Smith Education manually add or remove students?

For districts using automated rostering, we generally do not manually add, remove, or edit users because your rostering platform is the authoritative source of your roster data.


We made a schedule change today. When will it appear?

For Clever and ClassLink customers, schedule changes typically appear after the next nightly synchronization between 2:00–3:00 AM ET.

For OneRoster customers, updated files must be exported and shared before changes can be imported.
